Use cases

Built for businesses that live on the phone.

If missed calls cost you orders, bookings or goodwill, the butler pays for itself. A few places we start.

Retail

Demo available

Bakery and retail orders

Take orders and reservations by phone while the counter stays busy.

The problem
The phone rings during the morning rush. Staff pick up late or not at all, and orders scribbled on paper get lost or misread.
With Voxbutler
The butler answers every call, checks what is in stock, places the order and confirms the pick-up time. Staff see the order and a call summary in the portal.

The bakery scenario is the one we demo most. The butler knows the product list, opening hours and today’s stock from the bakery’s own documents and inventory connector. It will not accept an order it cannot fulfil, and it never improvises a price.

  1. Voxbutler

Good morning, Deluxe Bakery. How can I help you?

  2. Caller

Hi, I would like to order fifty rye breads for Saturday.

  3. Voxbutler

Let me check. We can bake fifty rye loaves for Saturday if the order is in by Thursday noon. Shall I place it?

  4. Caller

Yes, and can I also get a birthday cake for twelve people?

  5. Voxbutler

Of course. Chocolate, vanilla or fruit? And what name should go on it?

  6. Caller

Chocolate, with “Happy birthday Mei” on it.

  7. Voxbutler

Done. Fifty rye loaves and one chocolate cake for twelve with “Happy birthday Mei”, for pick-up Saturday. Which time suits you?

IT services

Demo available

IT helpdesk first line

Answer support calls instantly, open the ticket, and route the urgent ones to a human.

The problem
Engineers are interrupted all day by calls that are mostly “is the server down?” and “I forgot my password”. After hours, nobody answers at all.
With Voxbutler
The butler answers first line, checks known outages from your status notes, opens a ticket with the right details and hands over to an engineer only when it matters.

Built from a real IT company’s documentation. The butler reads the service catalogue, support hours and current status notes, and uses the helpdesk connector to create tickets. Questions outside IT support, like the opening hours of a cinema, are politely declined.

  1. Voxbutler

Northwind IT support, good afternoon. What can I help you with?

  2. Caller

I cannot open Outlook, it keeps asking for my password.

  3. Voxbutler

I am sorry about that. Is this on your laptop or on your phone, and did it start today?

  4. Caller

    Laptop, since this morning.

  5. Voxbutler

Thank you. There is no known outage for Outlook right now. I have opened ticket 4821 for you and an engineer will call you back within the hour. Is this number the best one to reach you?

  6. Caller

    Yes, that is fine.

Healthcare

Clinic and dental appointments

Book, move and confirm appointments without keeping patients on hold.

The problem
Reception is busy with the patient at the desk while the phone rings off the hook. Patients hang up, call back later, or do not show up because they could not reach anyone to reschedule.
With Voxbutler
The butler books and moves appointments in your calendar, answers questions about opening hours, directions and preparation, and leaves a summary for the front desk.

Appointment reminders by outbound call are on the roadmap. Today the butler handles inbound booking, rescheduling and questions, and hands anything medical to a person.

  5. Voxbutler

Thank you, Mr Chan. Thursday at ten with Dr Lee. I can offer Thursday at two, or Friday at nine thirty. Which do you prefer?

  6. Caller

    Friday nine thirty, please.

  7. Voxbutler

Moved to Friday at nine thirty with Dr Lee. You will get a confirmation message. Anything else?

Automotive

Car dealer and workshop

Book test drives and service slots, and answer stock questions, on the first ring.

The problem
Sales is on the floor, service is under a car, and the caller asking “do you have the hybrid in grey?” gets voicemail. That caller buys somewhere else.
With Voxbutler
The butler answers from the current stock list and price sheet, books test drives and service appointments in your calendar, and sends the sales team a summary with the caller’s details.

Stock lists change daily. Upload the new list and the butler answers from it within minutes.

  2. Caller

Do you have the new hybrid in stock, and can I test drive it this weekend?

  3. Voxbutler

We have the hybrid in grey and in white on the lot. I can book a test drive Saturday at eleven or two. Which suits you?

  4. Caller

    Saturday at two.

  5. Voxbutler

Saturday at two it is. May I have your name and a phone number so the sales advisor can prepare the car?

Logistics

Logistics and deliveries

Answer “where is my delivery?” and rebook time slots without a call centre.

The problem
Most inbound calls are the same question, and every one of them pulls a dispatcher away from the board. Peak days mean long queues and angry customers.
With Voxbutler
The butler looks up the delivery by order number through your connector, tells the caller the status and window, and rebooks a slot if needed. Dispatchers only see the exceptions.

Works with any system that exposes order status through an API.

  3. Voxbutler

Let me look that up. Order 77812 is on the van and currently scheduled between one and three this afternoon. Will someone be there?

  4. Caller

No, I am at work until six.

  5. Voxbutler

I can move it to tomorrow morning between eight and ten, or this evening between six and eight. Which do you prefer?

  6. Caller

    This evening.

  7. Voxbutler

Rebooked for this evening between six and eight. You will receive a confirmation message. Sorry for the trouble.

Hospitality

Restaurants and hotels

Take reservations in the guest’s language while the floor is full.

The problem
The phone rings during service. Nobody picks up, or someone does and gets the party size wrong. In a multilingual city, half the callers do not speak the receptionist’s language.
With Voxbutler
The butler takes and changes reservations in Cantonese, Mandarin, English or Dutch, knows the menu, allergens and opening hours, and writes every booking into your reservation system.

The butler follows the caller’s language from the first sentence. A caller who starts in English and switches to Cantonese is followed without a menu or a transfer.
